Analytics: Create a New Report

 Task: Create A New Report:

Permissions needed:

1.Design Analytics and any
2. Admin role  (for example: Fulfillment Admin, Acquisition Admin, Cataloger Admin, General Admin)

 

PATH:

Dashboard--Analytics--Design Analytics

Then select "New" or "Open" from the left hand top side of the screen

 

Example for Creating a New Report: 

 

1. New-- Analysis and Interactive reporting-- Analysis
2. Select your subject area: (for example: Course Reserves, E-inventory, Fines & Fees, etc) My ex.: Funds Expenditure
    The Criteria tab displays for you to add Columns and Filters.
3. Select Column info. :
   Double click on column names in the Subject Areas pane to add them to the analysis. Once added, drag-and-drop columns to reorder them.    Edit a column's properties, formula and filters, apply sorting, or delete by clicking or hovering over the button next to its name.
   My example I selected Vendor Name within the Vendor folder and Transaction amount within the Fund Transaction folder.
4. Select Filters:
   Add filters to the analysis criteria by clicking on Filter option for the specific column in the Selected Columns pane, or by clicking on the    filter button in the Filter pane header. 
5. Click on the icon for filters within the Select Column field ( a little tricky to find) the video does a good job of explaining this.
6. Then select  the boolean operators you want executed. I selected : Transaction amount is greater than 0.
7. To view your file: click the "results" tab top left hand side of the screen.
8. To save: Click Save As and place in a folder.
9. To view all saved reports:  click the "catalog" button on the right hand of the screen.

Analytics: Out-of-the-Box Reports

 

 

Out-of-Box reports are reports whose criteria has been created by Ex-Libris and can be run agianst our Library's data. 

 Task: Run an Out-of-the-Box report:

Permissions needed:

1.Design Analytics and any
2. Admin role  (for example: Fulfillment Admin, Acquisition Admin, Cataloger Admin, General Admin)

 

PATH:

Dashboard--Analytics--Design Analytics--Catalog--Shared Folders--Alma 

Then select a report from the list and click the edit button

 

Example for Creating a New Report: 

 

 Admin--Analytics--Design Analytics--Catalog--Shared Folders--Alma--Electronic Resource Collection Overlap-- expand--reports--expand-- I selected "Active portfolios in multiple collections with prompt for number of collections"--open-- number of e-collections I enetered 2--ok

Results: a list of portfolios (individual titles) will display with the number of e-collections the portfolios can be found in.

 

There are many useful out-of-the-box reports available, please explore to see what if useful for your department. 

Please always use "save as" not save when saving a report. You don't want to overwrite someone's work.
